Candidates and clients provide files in a variety of formats, our new document converter ensures all files are in the same consistent format.
Why is it important to keep documents in the same format? Organisation and efficiency mainly, knowing that you are able to open all of your documents is a huge boost. If you choose to have all of your documents converted to PDF format for example, you can open a PDF using a PDF Reader or even a web browser. Any device, anywhere can open a PDF pretty much.
Retained Formatting
Often when trying to open files, the file will lose the original formatting. This can happen if a .doc file created in an older version of Word is opened in a newer version. Recruiters using Windows struggle to open Mac created documents, such as .pages (Mac Document creator, similar to Word).
Our document converter retains the original formatting as much as possible, even if the original format hasn’t been supported in a very long time (Lotus Word I’m looking at you).
Files created in legacy software, or another operating system
According to Grok;
- 10–20% of files may be inaccessible due to being created in outdated software or legacy formats.
- An additional 5–10% might be affected by OS-specific (windows, mac, linux etc) issues.
- Combining these, 15–30% of files in a CMS could potentially be unopenable by some users due to software or OS incompatibilities, with the higher end of the range applying to older, less standardized systems and the lower end to modern, well-maintained CMS platforms.
This rings true for many of our customers, their CRM’s are filled with files they cannot open, resulting in missed data.
Text Extraction from Images
Just a few short weeks after launching our file converter tool, we released an update – image text extraction. It’s not uncommon in some industries for candidates to submit their resume as a jpg. In terms of data, unless you manually type out the data into your CRM, the jpg has little value.
Not any more, we can now extract text from a flat file and store it layered into a pdf. This means the PDF can be parsed just like any PDF, with data entering your CRM and ensuring the data is fully logged and searchable.
