Recruitment Tools & Software you should be using in 2026

Using recruitment tools and software will help you recruit smarter and faster, if they don’t, you have either chosen the wrong tools or are not using them correctly. Over recent years there has been an influx in tools created for recruiters, but which are the ones worthy of having?

Using a recruitment tool should save you time and effort, making you more efficient. Recruitment Automation partly in thanks to AI has come on significantly and will continue to do so in 2026. Do you find yourself spending time repeatedly on the same tasks? Can automation relieve you of this task? Some tasks need a human, but many can be programmed using some logic.

Recruitment Automation

A popular automation is for contact. Most companies send out auto emails when you receive a website contact form for example, but emails can be used for so much more. Remind a candidate on the day of their interview containing the time and map of the location. Send clients auto updates of their positions or create automated reports to management.

AI in Recruitment

Automation leads us into AI. Many of you have now probably tried AI in some form, with most concluding that it’s actually not that great. Most AI tools are honestly a bit rubbish, but some, some will give your company a huge boost when used right.

The thing with AI is that you need to devote time into it, to tweak it to become a useful tool. Take this ChatGPT prompt;

“Compare these candidates, which should we hire for the job?”

This means very little to AI and you will receive no benefit. Prompts can be very detailed, let’s embellish the prompt a little;

“We are recruiting for an Accounts Manager, the role specifically requires at least 5 years accountancy experience and 2 years management experience. For the role, the candidate will be using software including Sage and Microsoft Excel. Here is a list of candidates for the job including their resume. Look through each candidate and rank them in order of best to worst for the job, explaining the reason for the positioning for each candidate against the required criteria”

Now we are getting somewhere, AI can now work through each candidate and qualify them based on the job requirements.

This is just one simple example of AI in recruitment, we use AI in many of our recruitment tools in a whole variety of ways from creating covering letters specific to each candidate and job applying for, to rewriting resumes for each position applying for.

Job Boards

Job visibility is key. You may have a curated candidate pool which is a great asset, but attracting new candidates will grow your candidate database and provide access to a whole new pool of talent.

A job board for your own website is a must have. Ideally, this job board should be populated directly from your ATS/CRM via an automation or our own Website Job Board Plugin.

In addition to displaying jobs on your own website, utilise third party job boards such as Indeed or Google Jobs. This gains further visibility for your jobs, some even allow for applying to your job directly from the third party website to make applying easier for the candidate.

Reporting for Recruitment

Reporting is key. Which areas of the business are you excelling, which are you struggling? Which employees fill positions within xx timeframe, which are communicating with candidates? Identifying strengths and weaknesses allow you to improve your business. Continued reporting shows whether your actions are taking affect.

You most likely use an ATS/CRM, meaning you have a wealth data data. Any good CRM will store every action and interaction, meaning your possibility for reporting is high.

We can help create reports for your recruitment business, suggest specific reports and help action the outcome of the reports. Recruiter reports we wrote for a recent customer highlighted certain recruiters who struggled to recruit for certain positions, but were continually assigned these positions. For example, they struggled to recruit for IT roles but excel in finding candidates for management positions. The solution here is obvious, in other cases reports will highlight areas of the business you had not previously considered.

We will talk more about recruitment tools in upcoming posts, as this post is already getting quite long. These key tools will help your grow your business and come at a low cost, compared to other tools that will have a lesser impact.

Contact us if you are in need of a tool overhaul, or would just like to talk about whether a certain tool will help or hinder your recruitment business.
